Sales proposal template

Use this structure when a B2B sale requires a written proposal covering the buyer's situation, the proposed solution, scope, investment and next step.

This is a structural guide, not a downloadable file. There is no document to fetch and no account required — each section below explains what it covers and gives a short example of the kind of content that belongs there so you can build the proposal in whatever tool you use.

Template sections

1. Proposal overview

State what is being proposed and who the proposal is intended for.

Example content

"This proposal outlines a recommended implementation of [product/service] for [buyer], prepared for [name/role], covering scope, timeline and investment."

2. Current situation

Summarise the buyer problem or opportunity using facts established during the sales process.

Example content

"[Buyer] currently manages this process manually across three teams, which has led to inconsistent turnaround times over the last two quarters."

3. Objectives

Describe what the buyer is trying to accomplish.

Example content

"Reduce turnaround time on this process, give the operations team a single source of truth, and remove manual handoffs between teams."

4. Proposed solution

Explain the recommended product/service and why it fits the stated objective.

Example content

"We recommend [solution], which addresses the turnaround and visibility issues described above by [specific mechanism], rather than a broader replacement of existing tools."

5. Scope

Define what is and is not included.

Example content

"In scope: setup, migration of existing records, and training for the operations team. Out of scope: integration with [other system], which can be scoped separately."

6. Implementation / delivery

Explain how the work or product will be introduced.

Example content

"Implementation happens in three stages: environment setup, data migration, and team onboarding, each with a named owner on both sides."

7. Timeline

Show significant phases or dates only when known.

Example content

"Kickoff in week 1, migration complete by week 3, team live by week 5 — dates to be confirmed once the contract is signed."

8. Investment

Make price, payment structure and assumptions explicit.

Example content

"Total investment: [amount], billed [monthly/annually], based on [number] of seats. Price assumes implementation is completed within the stated timeline."

9. Terms or assumptions

Include only relevant commercial conditions.

Example content

"This proposal assumes [buyer] provides access to existing records within five business days of signature. Standard terms apply as attached."

10. Next step

State what must happen for the proposal to progress.

Example content

"To proceed, please confirm acceptance by [date] so implementation can begin in [month]."

Common mistakes

These are the issues that most often make a sales proposal harder to read or slower to approve.

  • starting with a long company biography
  • hiding pricing
  • vague scope
  • unclear next action
  • copying generic content without adapting it

Turn structure into a repeatable process.

A template describes structure. Making that structure consistent across every rep and every deal usually means pairing it with reusable content, a review step and an explicit approval before sending.
